Terms of Service and User Agreement

These Terms of Service and User Agreement ("Terms") are a legally binding agreement governing your access to the AI Meeting Assistant website, browser extension, cloud AI features, email delivery, paid subscriptions, and related services (collectively, the "Services").

AI Meeting Assistant is created and operated by Vasiliy Rymarovich, Individual Entrepreneur registered in the Russian Federation(the "Author" and "Service Provider"). Vasiliy Rymarovich is an independent software developer specializing in browser extensions, ai-assisted productivity tools, and meeting workflow automation. The Service Provider is the contracting party responsible for providing the Services. Questions may be sent to info@meetingsassistant.app.

By creating an account, using the Services, clicking a purchase button, or completing payment, you confirm that you have read and accepted these Terms, our Privacy and Personal Data Processing Policy, and our Refund Policy. If you do not agree, do not use or purchase the Services.

1. Description of the Services

AI Meeting Assistant helps users capture meeting transcripts, generate summaries, decisions and action items, prepare for recurring meetings, and create or deliver follow-up messages. Meeting records and generated content may be stored locally in the browser extension, while selected text and metadata are processed by our backend and service providers when you request cloud features.

AI-generated output may contain errors or omissions. You are responsible for reviewing transcripts, summaries, action items, recipients, and messages before relying on or sending them.

2. Eligibility and Accounts

You must be at least 18 years old and legally capable of entering into this agreement. You are responsible for your account, for keeping access credentials secure, and for activity performed through your account. Sign-in may be provided through Google or another authentication provider.

3. Meeting Consent and Acceptable Use

You are responsible for notifying meeting participants and obtaining every consent required by applicable law before recording, transcribing, analyzing, or sharing meeting content.

4. Free Plans and Usage Limits

Free plans may be subject to meeting, duration, email, feature, or other limits shown on the pricing or account page. Legacy Free eligibility is assigned to qualifying accounts and is not transferable. We may prevent abusive or automated use and may change future free-plan allowances with reasonable notice. Paid periods already purchased are not reduced by such changes.

5. Pro Subscription, Prices, and Payment

Pro is offered as a recurring monthly or annual subscription. The exact price, currency, billing period, and included features are displayed before payment and form part of your purchase. Payment collection is handled by Lava.top, acting as the Service Provider's payment agent, or by another payment provider identified at checkout. Lava.top is not the seller and is not a party to the service contract between you and the Service Provider. We do not receive or store your complete payment-card details.

By purchasing Pro, you authorize the payment provider to charge the displayed amount at the start of the subscription and automatically at each renewal until cancellation. Currency conversion or bank fees may be applied by your bank or payment method and are outside our control.

Pro access is normally activated after successful payment confirmation. If activation is delayed, contact support using the same email address used for your AI Meeting Assistant account and payment.

6. Automatic Renewal and Cancellation

Unless cancelled, a monthly subscription renews monthly and an annual subscription renews annually. You can cancel future renewal through the Lava.top buyer account connected to the email used at checkout or by contacting us. Cancellation stops future charges but does not itself refund the current charge. Unless a refund is approved or the law requires otherwise, Pro remains available until the end of the paid period.

7. Refunds

Refund eligibility, request deadlines, processing, and the effect of a refund on Pro access are described in our Refund Policy. Nothing in these Terms limits consumer rights that cannot legally be excluded. The Service Provider decides refund requests under that Policy. Lava.top may process an approved refund as payment agent and may act under its own platform terms where a consumer-rights violation is established or the Service Provider does not respond to a dispute.

8. User Content and Privacy

You retain your rights in meeting content you provide. You grant us and our processors a limited right to process that content only as needed to provide, secure, support, and improve the Services, comply with law, and enforce these Terms. Details are provided in our Privacy and Personal Data Processing Policy.

9. Intellectual Property

The Services, software, designs, branding, and underlying technology, excluding User Content, are owned by AI Meeting Assistant or its licensors. These Terms grant only a limited, revocable, non-exclusive, non-transferable right to use the Services for their intended purpose.

10. Third-Party Services

The Services may interoperate with Google, meeting platforms, OpenAI, Lava.top, email providers, hosting providers, and other third parties. Their services are governed by their own terms and may change or become unavailable independently of us.

11. Availability and Disclaimer

We work to keep the Services available but do not guarantee uninterrupted or error-free operation. To the extent permitted by law, the Services are provided "as is" and "as available" without implied warranties. Mandatory statutory warranties remain unaffected.

12. Limitation of Liability

To the maximum extent permitted by law, we are not liable for indirect, incidental, special, consequential, or punitive damages, loss of profits, goodwill, or data arising from use of the Services. Nothing excludes liability that cannot legally be excluded or limited.

13. Suspension and Termination

We may suspend or terminate access where reasonably necessary to address a material breach, fraud, security risk, unlawful activity, non-payment, or harm to users or the Services. You may stop using the Services at any time. Subscription cancellation is governed by Section 6.

14. Changes to These Terms

We may update these Terms as the Services or legal requirements change. We will post the updated version and effective date and provide additional notice where required. Changes do not retroactively reduce a paid period already purchased.

15. Governing Rules and Disputes

These Terms are governed by the law applicable to the contracting service provider and the transaction, without depriving consumers of mandatory protections in their country of residence. Please contact us first so we can try to resolve any concern promptly. You may also use any competent consumer-protection authority, court, or dispute mechanism available under applicable law.
